As part of the FA & TA Project Management, the Project Management Officer is responsible for:


  • Implement and maintain an efficient project management framework and its associated governance
  • Schedule and moderate ad-hoc meetings and workshops
  • Prepare presentations and other supporting materials
  • Draft and distribute meetings minutes


  • Set-up and manage relevant tools (such as Clarity, 3T), templates and procedures for the project and maintenance activities, including reporting templates
  • Maintain the project library and roadmap of the department


Quality Assurance:

  • Support the IT Project Managers and Applications Owners in delivering expected documentation and deliverables in line with Booster framework
  • Ensure that all Booster requirements are followed by IT Project Managers and Application Owners (milestones, Quality Center,etc)
  • Communicate on and coordinate Booster framework changes implementation with the the IT Quality team


  • Support the management in the yearly budget exercices
  • Monitor the input of working time by IT TA & FA teams into the relevant tools, and its correctness, and escalate to Management when appropriate (deadlines not respected)
  • Provide team’s activity reports to IT TA & FA Team managers
  • Provide budget-related information to IT TA & FA teams managers, in regular intervals as well as on ad-hoc basis
  • Provide budget-related information to the bank locations on a weekly and monthly basis
  • Monitors the costs and perform any necessary analysis, forecasts and reporting to Management
  • Escalate any divergence from the budget or a risk of overspent

Reporting and Communication:

  • Prepare reporting for IT FA & TA Management and any other governance forums
  • Ensure smooth communication within the IT FA & TA teams

Risk and Issue Management:

  • Gather risks and issues in a dedicated log

Key Responsibilities & Expected result area

  • Actively contribute to budget and forecast exercises by gathering required information from team managers, by consolidating figures and synchronizing with IT and Finance departments
  • Gather, consolidate and report on a regular basis about department projects and maintenance activities as well as budget figures (monthly activity report, project dashboards, release notes, budget exercises, headcounts reports, …)
  • Communicate in a standard and regular manner to all stakeholders of the platforms
  • Implement (and adapt) activity quality measurement (KPIs), on both project and maintenance activities, based on management guidelines
  • Implement (and adapt) activity evolution measurement, around quality, costs and return on investments, based on management guidelines
  • Contribute to increase the quality and the visibility of the activities of the department, by proposing improvements in the way the monitoring activity is managed and the communication is done

Experience required / expected

  • Bachelor Degree in Technology, Finance, Economics or equivalent
  • Minimum of 3-5 years’ experience in investment operations
  • Broad understanding of the asset management industry
  • Broad understanding of standards, methodologies and technology necessary to support investment management and banking operations.
  • Proven expertise and established track record in Project Management Officer role or similar function
  • Excellent PC skills, Advanced Excel (pivot table), MsProject, Access, Power Point
  • Knowledge of PMO tools : PMT – Clarity/OpenWorkBench, Jira, Quality Center, Business Objects
  • Good relationship management skills
  • Excellent written and oral French and English skills are essential, any other language is an advantage
